The Role
The Events & Certification Assistant (M/F/X) supports both the Certification and Events teams in organising training programmes and events.
This job offers a wide variety of tasks:
Support the Certification Team on the day-to-day management of the:
- Information
-
- Provide relevant information to prospects and follow up with them (phone calls, emails)
- Update of various documents/communication
- Follow-up of the common mailbox
- Provide relevant information to prospects and follow up with them (phone calls, emails)
- Training courses:
-
- Assist with the follow-up of application files: update Odoo Event Management software and follow-up tables, follow-up on missing information, draft invoices
- Draft training course web pages for publication on the ILA website
- Provide support to the training organisation: draft information emails to participants, send calendar invitations to speakers, prepare participants lists, name tags, follow up on menu choices & allergies, review and update programme & slide decks according to ILA Standards, upload documents in RiseUp, prepare certificates of participation or registration upon request
- Attend training courses to ensure logistics and participation
- Assist in the exam preparation
- Any other task related to the organisation of training courses

- Provide administrative support with the collection of application files
- Assist with the preparation of certificates for the award ceremony
- Update in Odoo
- Support on CPD requests
- Follow-up on missing information
Support the Events Team on the day-to-day management of the events organisation:

- Prepare agenda and follow up with speakers
- Draft event web pages for publication on the ILA website
- Follow up on online registrations, invoicing and payments
- Prepare and review materials according to ILA Standards
- Attend & coordinate events according to calendar
- Post-event follow-up: attendance and survey
- Any other task related to event organisation
General support

- Support the central office phone calls: answer and respond to phone calls and/or communicate messages to the team when necessary
- Support on various administrative tasks and regular office operations on a needed basis
- Update and complete contact on an ongoing and proactive basis (email exchanges, information provided by phone or in other documents… )
Qualifications
- Positive thinker with excellent relationship and communication skills.
- Experience: Entry level; 1 year of work experience in a similar environment is considered an advantage.
- Education: Bachelor’s and/or BTS degree equivalent.
- Fluency in English and French is essential; knowledge of other languages would be considered an advantage.
- Strong organisational skills with the ability to multi-task.
- Proficient in Microsoft Office and other office tools, with the ability to learn new software and systems.
- Ability to work proactively and autonomously.
